A number of our current PAC executive will be stepping down next year, many with students who will be leaving the school in the next few years. We are looking for some new parents to step up and fill these volunteer positions.
Executive Roles
Chair/Co-Chairs: *OPEN for 2022/23 The chairperson coordinates PAC affairs in cooperation with other executive members. This is great position to share with a friend, and will be much less work if two people share this role. The current PAC chair remains on the PAC exec for one year, as past chair, for additional support during the transition period.
Duties:
Calls & chairs all meetings, or may be assisted by Vice Chairperson
Prepares agendas for PAC and Executive meetings
Knows the constitution and bylaws
Reads all material sent to the PAC and distributes relevant info to its members
Liaisons with committees, school teachers and administration and PAC members regularly
Ensures PAC is represented in school/school district activities
Keeps a binder of what has transpired during the year (info may be kept in a newsletter or annual report format)
Be the official spokesperson for the PAC
Submits an annual report
Vice Chair or Vice Co-Chairs: *OPEN for 2022/23 The vice chairperson assists Chair in coordinating PAC affairs in cooperation with other executive members.
Duties:
Assists the Chair
Assumes specific tasks or responsibilities assigned by the Chair
Understands the Chair's role
Fills in the Chair's role when the Chair is unavailable
Secretary:
Record minutes of all executive & general PAC meetings
Keeps a copy of the constitution and bylaws, with any amendments noted and dated
Circulates minutes at least 2 weeks prior to the next meeting
Takes attendance at all general meetings
Provide copies of minutes, agenda & sign in sheet at General PAC meetings
Shall safely keep all records of the PAC on file
May be responsible for correspondence (usually shared with Chair)
Financial Committee:
Responsible for all funds and expenditures
Keeps financial records
Reports regularly to PAC members and Exec
Prepares and presents annual financial report
With the assistance of the Executive, prepare all financial documentation required for BC Gaming Commission (BCGC) applications and maintaining active status with BCGC.
DPAC Representative:
Attend all regular and special meetings of the District PAC meetings.
Reports regularly to and seeks input from PAC Executive and members
Forward school-base issues to DPAC on request of the PAC
Past Chair:
Helps smooth transition between Chairs
Serves as advisor to the Chair
Provides continuity of leadership
Assumes specific tasks and responsibilities as requested by the Chair
Volunteer Coordinator:
Maintain current list of volunteers
Promote the involvement of parent volunteers
Work in collaboration with Special Events & Fundraising Coordinators to ensure adequate volunteer coverage
Members At Large:
Shall serve in a capacity to be determined by the Executive at the time of their election, and at other times throughout their tenure as needs of the Executive might require.
